Quotes User Guide
This page contains a guide to the current quotes functionality including quote history, software request for quote and the latest Vue 3 UI.
WWT's eCommerce Quotes application allows customers to request and manage their quotes through one central interface.
Customers can request a quote, track the status of a quote, download a quote, or transfer a quote back to their procurement platform.
The application displays a store's current and historic quotes as shown below. Up to 6 years of a store's quote history is available for reference or reconciliation.
Quotes Home Page
Search for Quote
Customers can utilize the Quotes application's search filters to narrow their quote search. Searches can be filtered by all store quotes or by the logged in user's quotes, by status, by owner, by customer, and can also be narrowed down by entering quote expired or quote modified date ranges.
Selecting a quote allows the user to access the quote's details. Once the quote is finalized by the WWT Inside Sales representative, it is available for download.
Quote Status Definitions
Each quote on the main Quotes page will display the Quote Number (identifier), Quote Name, Owned By (the individual who owns the quote), the expiration and modification dates, the quote amount, customer name, and the status of the quote.
In Process:
A quote has been requested by the customer and is in the process of being reviewed and validated by the Inside Sales Representative.
Ready for Review:
The Inside Sales Representative has fulfilled the customer's quote request AND exported the quote from the internal quotes system to the Quotes application for the customer's review.
Expires Soon:
A quote that has been in a state of ready for review is approaching the expiration period set in WWT's quote system.
Processed:
WWT receives a purchase order from the customer allowing the quote to be successfully processed in our quotes system.
NOTE: Quotes that are successfully "Processed" can then be accessed in the "All Quotes" section of the Quotes application for the store OR as an order within the Order Status application.
Expired:
A quote has reached its expiration period set in WWT's quote system and is no longer valid.
Requesting a Quote
The Quotes application workflow allows for 3 primary ways in which customers can request quotes - upload a quote, build a quote, or transfer a quote.
- The "Request for Quote" workflow allows a user to upload a quote by utilizing a standard quote template (template available for download in the application) to add parts and configurations.
- Alternatively, a user may "Build a Quote" by searching for and selecting the desired parts and configurations for the quote.
- Lastly, a user may transfer a requested quote back to their procurement platform for an integrated experience.
How?
Users select "Request Quote" in the upper righthand corner of the main quotes page.
A quote can be requested by proceeding through the "Request for Quote" workflow as shown below.
NOTE: To request software quotes through the application, a customer must have a support contract with WWT and have their store configured. Your WWT primary point of contact can assist. Please reference the software request for quote workflow steps at the end of this user guide.

Communication Following Quote Request
After a quote request is submitted, the customer will receive an automated email with a reference number and confirmation of receipt. A WWT Inside Sales Representative may follow up with the customer via email for additional information that is required.
Comments Feature
The comments feature within the Quotes application is configurable by customer/store and enables comments/dialogue to occur within the quote details.
Any email exchange between WWT and the customer from the original automated email confirmation will be captured in the quote's "comments" as part of the quote record. Comments can also be exchanged directly within the application.
Clicking on the comments icon on the quote record opens up the quote details with all captured comments and email messages exchanged between WWT and the customer.
Additional functionality within the comments view are the ability to attach files as well as add individuals to the quote's watchlist to track the progress of the quote.
Published Quote
Lastly, the WWT Inside Sales Representative makes the final quote available to the customer in the Quotes application. Quote details can be viewed and a PDF of the quote can be downloaded. OR, if the customer's procurement system is integrated with WWT, the customer can "transfer" the quote back to their procurement system.
Transfer Quote (Option 3):
Customers who utilize enterprise software such as an ERP or CRM to manage purchases can order products from WWT's eCommerce system while remaining inside their respective ERP or CRM solution. Punch Out integration offers WWT customers a simple and real-time procurement experience that increases order accuracy and eliminates redundant data entry.
Punch Out transactions are also available through WWT's Catalog application. GEP, SAP Ariba, Coupa, and Oracle iProcurement are examples of ERP or CRM platforms WWT currently supports through our Punch Out processes.
Customers can enter their organization's procurement platform, punch out and transfer a quote back to their procurement platform. The process begins in the customer's procurement platform by following the relevant steps to explore product from WWT. (Note: Specific steps and terminology will vary by procurement platform).
Users will arrive in their preferred WWT eCommerce application (Quotes or Catalog). Once within WWT's Quotes application, the user can select the appropriate quote to be transferred. Any quote in "Ready for Review" status is available for transferring.
After selecting the quote ("Ready for Review") and entering the quote's details, a user selects "Transfer" in the upper right corner of the gray box to transfer the quote back to their procurement platform.
After being returned to the customer's procurement platform with the quote transferred, users can follow the appropriate steps in their ERP or CRM platform to create a purchase order (specific steps and terminology will vary by procurement platform).
Managing Preferences
The WWT application the customer is launched to from their procurement platform can be modified within WWT's "Manage Preferences". Select the 'gear' icon, "Manage Preferences", in the upper right corner of the page.
Once within the preferences page, users may select the WWT procurement application they desire to utilize each time there is a punchout transaction required.

User Experience Feedback
Users can submit feedback on their user experiences at any time by selecting the feedback tab in the lower right hand corner of the Quotes application. Alternatively, users can share any feedback with their primary WWT point of contact.
